Set the account signature used for people who have not supplied their own. Review it as part of the email the recipient will see, including any opt-out wording.

What you’ll see

The Email Signature page, where you pick a layout and color, then turn the signature on. It is Off here.

Before you start

You need access to signature settings and accurate company-profile information. No phone number is needed. A sender-specific or mailbox-specific signature may affect the final message, so the account preview alone cannot establish every sender's final appearance.

Review and edit

  1. Open Settings → Templates → Signature. Inspect Use this signature across the account and wait for existing settings to load before editing.
  2. Choose a Layout, then review Color and Tagline. Layouts use company information; fix incorrect business details at their source rather than hiding them with misleading text.
  3. Review Add a one-line opt-out for the intended outreach workflow. Read the actual resulting wording in Preview.
  4. Use the visual editor or HTML mode if a custom signature is needed. Custom HTML is treated as custom content so a later style change does not silently overwrite it. Check links and any inserted placeholders.
  5. Choose Save Signature to persist the change. Discard changes reloads the stored version. Reopen the page and inspect the preview again.

Check the result

Success is the intended account signature saved and visible on reopening. Before any later authorized send, inspect the final composer preview for the selected sender; check that an individual override or footer has not changed the result or duplicated content.

If something goes wrong

Troubleshooting

A load error means the current signature has not been established; resolve it before saving. If a layout does not update custom content, inspect whether the editor is in Custom mode. Missing business details may come from Company settings. A saved signature does not test email delivery, and there is no need to send a message merely to validate its layout in this read-only documentation exercise.
