Playbooks are reusable outreach sequences that can contain automated steps and manual tasks. Reviewing a playbook is different from publishing it or enrolling leads. Those later operations can start real work and communication, so verify the sequence, audience, timing, and sender setup before proceeding.

Find and inspect a playbook

  1. Open Playbooks. Review the counts for Draft, Paused, Published, and Archived.
  2. Use the filter and sort controls to find the intended playbook. Archived playbooks are kept but hidden from the default list.
  3. Open the playbook. The tabs Triggers, Sequence and Configuration set it up; Enrolled leads, Activity and Responses show what it is doing. Review automated steps separately from manual task steps.
  4. Open Configuration. Each decision is a collapsed section whose header shows where it stands: Enrollment status, Business hours, Internal test, Send from, Trigger recovery and When a lead replies. One section opens at a time.
  5. Check the entry triggers, business hours, timezone basis, delivery limits, sender pool, and outcome behavior before approving any activation.

A live playbook with no unpublished edits shows one status line instead of a banner; its Check enrollment status link opens the Enrollment status section. A Staged audience is saved for review; it is explicitly not enrolled. When nothing is staged, a single line says so, with Refresh audience. Likewise, saving a draft does not by itself prove that a sequence is published or running.

Prepare a draft

Use Add Playbook when you need a new sequence, then review its draft before publication. The detail view offers Save draft; a separate Save as draft control also appears in the reviewed source. Publishing is an operational decision, not merely a way to save editing progress.

Review the Internal test section of Configuration carefully. Current source blocks publishing a draft that combines automatic entry triggers with Internal test on. It also prevents those triggers from enrolling matching leads. For a manual internal test, remove automatic entry triggers. Turning off Internal test and publishing can enable real sequences. Existing tagged leads may require Reconcile current matches in the Trigger recovery section, which can start sequences for matching leads; do not use reconciliation as a harmless refresh.

To repair failures for leads already enrolled, inspect Enrolled leads and the current failure information. Reconciliation of matching audience and repair of existing enrollment are different operations.

Verify changes and handle conflicts

After saving a draft, reopen it and verify the intended steps and configuration. After any separately authorized publication or enrollment, check the actual status and enrolled records. A Published badge does not prove that a recipient received a message.

If a stale-draft warning appears, read the offered choices before continuing. Discard and reload removes local edits; Rebase outcome edits preserves only the supported outcome edits over the latest server draft. Do not assume it preserves every local change.

For a failed initial load, use Retry. If filters hide the playbook, use Clear filters before creating a duplicate.

This Sequence tab capture shows an earlier layout: coloured summary cards and the tab order Triggers, Sequence, Activity, Responses, Configuration, Enrolled leads. The cards are now white, and Configuration follows Sequence, before Enrolled leads, Activity and Responses.
